The Administrative Assistant is a highly organized and detail-oriented professional who supports multiple teams across various departments. This role requires a proactive individual who is comfortable managing a wide range of administrative tasks, supporting construction-related projects, and ensuring the smooth operation of daily office functions. The ideal candidate is flexible, professional, and willing to roll up their sleeves to tackle any task-big or small.

Responsibilities

  • The Administrative Assistant is a highly organized and detail-oriented professional who supports multiple teams across various departments
  • This role requires a proactive individual who is comfortable managing a wide range of administrative tasks, supporting construction-related projects, and ensuring the smooth operation of daily office functions
  • The ideal candidate is flexible, professional, and willing to roll up their sleeves to tackle any task-big or small
  • Update and format PowerPoint presentations for internal and external use
  • Manage and maintain multiple databases with a high level of accuracy
  • Provide support in the project management of construction jobs, including documentation and tracking
  • Complete complex pre-qualification applications for construction projects
  • Assist with understanding and maintaining the bonding process, including updating bond information
  • Monitor and manage class schedules and certification deadlines for team members
  • Coordinate travel arrangements, bookings, and expense reports
  • Assist with shipping tasks including USPS and large freight logistics
  • Oversee office supplies and coordinate with facility vendors as needed
  • Support the issuance of Certificates of Insurance (COIs) and manage the Master Service Agreement (MSA) lifecycle
  • Plan and execute company events, both onsite and offsite
  • Handle incoming calls and direct them appropriately
  • Run errands as needed to support the office and team
  • Approach all responsibilities with a willingness to help and a can-do attitude

Qualifications

  • Excellent customer service and professional communication skills
  • Strong organizational and multitasking abilities
  • Ability to manage confidential and sensitive information
  • Excellent verbal and written communication skills
  • Self-starter with the ability to work independently and as part of a team
  • 3-5 years proven experience in an administrative or office support role
  • Must be proficient in PowerPoint, MS Word, and Excel
  • High school diploma or equivalent
